Data subject rights request privacy statement

Introduction and purpose

The English Sports Council (Sport England) is a non-departmental public body tasked by law with increasing participation in sport and physical activity in England. Sport England is an ICO registered data controller with registration number ZA208476. During our business operations we will come into control of personal data which we must manage in accordance with UK GDPR.

As a registered data controller, we are required to manage personal data safely and respond to any data subject rights request made by any person whose personal data we hold. This privacy statement tells you how we process personal data to manage your data, your data rights and any request that you make.

How to make a request

You can submit a data subject rights request to us by clicking this OneTrust Webform to access our OneTrust Privacy Portal.

You may also make a data subject rights request using any Sport England communication system, including email or social media.

Personal data we process when you make a request

We or our appointed suppliers, representatives or agents process your personal data for the purposes we told you at the time when your personal data was taken which includes the management of your data subject rights.

In processing your request, we will process your first name, last name, email address, country, your request, your relationship with us, identity verification, and other personal data you provide which you consider relevant to your request. If we hold personal data relating to you then we also process that data to comply with your request.

The OneTrust Privacy Portal will be used to communicate with you. You will be notified by a OneTrust email on any communications sent to you from us and provided with a unique access code to securely access the Privacy Portal to manage your request and respond to communications. Lawful basis for processing

  • Public task: when we carry out one of our official tasks or a task that's in the public interest
  • Legal obligation: to comply with a legal obligation placed on us as a data controller.

Special category data

We will not ask you to provide any special category data when exercising a data subject rights request, although we may process such data in managing and responding to your request, e.g. for special category data that you have voluntarily submitted to us or otherwise obtained by us for the specific purposes stated at time of collection.

  • Rights in relation to automated decision-making and profiling.

Management of your rights request

When you submit a request relating to any of these rights or if you think your rights have been breached, Sport England has one calendar month to progress or complete your matter. You are not required to pay any charge for exercising your rights.

  • Communicate with you on your request
  • Comply with legal obligations
  • Sharing with regulators and legal advisers.

How long we keep your personal data

Personal data is held in line with Sport England’s File Retention Schedule.

We will continue to hold such personal data for you relating to the management of your data subject rights request for the sole purpose of satisfying regulatory and legislative obligations.

In accordance with the Limitations Act we will hold this data for six years.

Failure to provide personal information

  • If you contact us wishing to submit a data subject rights request and fail to provide certain personal information when required to do so, we will likely be unable to process your request.
  • We will inform you when you are required to provide information and the consequences of not doing so.
